Sending bulk emails

Communicating with customers is an important activity in any business scenario. One of the best ways to communicate is by sending an email. Zoho CRM offers the ability to reach large numbers of customers by sending bulk emails. You can also set up auto-replies, schedule bulk emails, and create out-of-the-box email templates. Note:

  • The bulk email functionality is available for all modules that support email addresses. In Zoho CRM, you can send bulk emails to customers based on your business needs. For example, you can send updates or personalized follow-up emails to customers via bulk email. Bulky email is not a substitute for email campaign software and tools. The purpose of bulk email in CRM is to simplify your business processes.
  • When sending bulk e-mails to customers, you can choose a template for your message from various predefined templates. Bulk emails can be sent in the following ways:
    • Sending bulk emails manually
    • Scheduled sending of bulk emails
  • Before sending any emails, make sure that the record contains a valid email address.
  • In the case of data records without a valid e-mail address, no e-mails will be sent.
  • You can also use the Zoho Campaign integration to run email campaigns based on leads and contacts in CRM. In addition, you can track clicks, bounce rates, etc. and use the standard templates for emails from Zoho Campaigns.

Bulk emails

Send bulk emails

In Zoho CRM, you can manually bulk email customers by creating a new mailing list or by using an existing list. You can select the list of recipients in two ways:

  • Instant filter (create a new customer-specific view)
  • Available custom view

Note:

  • The bulk email functionality is only available in the Leads and Contacts modules. See also email limits
  • You need to create email templates before you can send bulk emails. See also email templates

Profile authorization required: Users with the authorization for mass emails to leads / contacts in the profile can access this function.

How to send bulk emails

  1. click on the Tab [Module].
    "Module" refers to the Leads, Accounts, Contacts, etc. tabs.
  2. Click on the [Module] homepage on the symbol More > Bulk email [module].
  3. On the website Bulk email becomes the tab by default Email template displayed.
  4. Go to the tab Email template as follows:
    • Choose the template from the list.
      Note that the email content cannot be edited here.
    • Next you need to fill in the email addresses in the fields Of and answer to enter.
      Here you can select one of these options from the drop-down list:
      • Your account email address
      • Company email address
      • Record owner email address
    • Click on the link new templateto create a template.
  5. On the Select Records tab, do the following:
    • click on Customized viewing criteria, and then click in the list Select customer-specific view or
    • click on Manual criteriato manually search for and select the records you want.
      The system only displays those records that contain an email address. When sending bulk emails to contacts, you can also specify the criteria based on the fields in the Accounts module.
  6. click on Send.

Note:

  • The option "Mail address from template" is available if you have already configured "From" and "Reply to" in the templates.

Schedule bulk emails

This feature allows you to send bulk emails to selected leads or contacts on a schedule. Example: You want to email customers at 10:00 a.m. PST, but you have an important meeting at the time. You can schedule the email to be sent at this time even in your absence. Use the Bulk email planner.

  • Only three bulk e-mails are possible at a time for any given scheduled time. See also email limits
Delete scheduled bulk emails

How to schedule bulk emails

  1. Click the tab Leads or Contacts.
  2. Click on the side Module list view on the symbol More> PlanningMasse-mail.
  3. click on New scheduled bulk email.
  4. Go to the side New planning for bulk email as follows:
    • Enter a value below Bulk email schedule name a.
    • Choose the Custom view from the list.
    • Choose the Email template from the list.See also email templates
    • Click on the link new templateto create a template.
    • Next you need the email addresses in the fields Of and answer to enter.
      Here you can select one of these options from the drop-down list:
      • Your account email address
      • Company email address
      • Record owner email address
    • Check the box active.
      The scheduled e-mails are only sent if the check box is activated active delivered.
    • Give that Start date and the Start time one to schedule the emails. Enter the date in the format MM / DD / YYYY or select the date from the calendar that appears. Select the hours and minutes from the respective lists.
  5. click on to save.
    The View Bulk Email Scheduling page appears.
  6. click on To edit or Clear.
  7. click on Back. The planning that has been created is displayed under "Bulk e-mail planning".
